Division of Administrative Affairs

The Division of Administrative Affairs is one of the key divisions within the General Secretariat of the Central Library. It is responsible for managing all personnel matters and other administrative services. This includes receiving and delivering official correspondence sent to the library from the University Presidency, other state institutions, and provincial authorities, as well as managing official communications between the General Secretary of the Library and all aforementioned entities. The division also oversees outgoing mail and ensures proper procedures are followed with relevant authorities. Additionally, it monitors daily electronic archiving tasks for all incoming and outgoing documents, drafts official correspondence, and supervises the work of the units affiliated with the division.

The division consists of the following units:

  1. Personnel Unit: This unit manages employee affairs, including leave requests and tracking. It is also responsible for archiving administrative documents, supervising college libraries affiliated with the university, and training their staff. Furthermore, it issues internal administrative orders for the library, monitors internal and external correspondence, and archives administrative books.
  2. Accounts Unit: This unit collects funds from the Identity Unit and transfers the total amounts to the Financial Affairs Department within the University Presidency, specifically the Treasury Division. The designated accounting officer issues a receipt for all collected funds.
  3. Media Unit: This unit documents the library’s internal media activities, including meetings of the General Secretary of the Central Library with staff for official occasions, directives, or other purposes. It also handles external media activities, such as visits by university officials, visitors, and school students (primary, secondary, and preparatory levels), as well as organizing annual festivals and book exhibitions. All activities are documented on the Central Library’s official website and social media platforms (e.g., Facebook), using video, written reports, or photographs. Additionally, the unit head conducts awareness, educational, and guidance seminars for students and staff, either within the library or through the University’s Continuous Development and Education Department.
  4. Services Unit: This unit manages all service-related matters, including library cleanliness and maintenance, supervising cleaning and maintenance staff, and ensuring the library is equipped with necessary supplies, hospitality items, cleaning tools, plants, and decorative elements to enhance the library environment. It also communicates with all relevant entities regarding infrastructure and facility-related matters.
