Division of Technical Procedures

The Technical Procedures Division is responsible for the technical processing of information resources, including selection, acquisition, and technical handling. This division organizes cataloging cards and classifies books, theses, and journals for entry into the electronic library systems. It manages the receipt of books either through acquisition or donation. Acquisitions involve purchasing books from Iraqi publishing houses, while donations involve exchanging books with other Iraqi universities.

Upon receipt, books are classified according to their academic subject, cataloged, and recorded in the general register. They are then entered into the computer system, assigned a unique identification number, labeled, and sent to the appropriate service units: Arabic Lending Unit for Arabic resources, and English Lending Unit for foreign-language resources.

The division includes the following units:

  1. Acquisitions Unit:
    This unit receives books purchased for the library and records their information in a special register. Its responsibilities also include developing the library’s collection by providing all printed and non-printed materials and supplying branch libraries of the university faculties with books. An annual inventory of the library’s holdings is submitted to the University Presidency.
  2. Cataloging and Classification Unit:
    This unit is responsible for cataloging and classifying the books received from the Acquisitions Unit. Each book is carefully reviewed, classified according to its field, and cataloged. Important points to observe include:
    • The classification number is a key element of the catalog card, indicating the book’s location.
    • All cards must be organized in catalog drawers, removing the Arabic definite article "ال" if it appears at the beginning of the title on the library shelves.
    • The code above the classification number indicates the publication year of the book.
      After cataloging, the book is presented to the Intellectual Property Committee for verification and inventory control.
  3. Donations and Exchange Unit:
    This unit manages donated books and exchanges with other university libraries or faculties. Books received internally or externally are recorded in a register, marked as donations, stamped for verification, and forwarded to the division head for classification by subject. They are then sent to the reading room shelves for student and researcher use.
  4. Library Collections Maintenance Unit:
    This unit is responsible for the preservation and maintenance of library collections, including books, theses, and references. It protects them from wear and deterioration over time. Periodic inventories are conducted, protective covers are applied, labels are updated, dust is removed from books and shelves, and volumes are numbered or sequenced. Lost, damaged, or excessively worn materials that are no longer usable are recorded.
  5. Theses and Dissertations Receiving Unit:
    This unit handles the receipt of theses and dissertations from all Iraqi universities via deposit. The receipt procedures include:
    • Receiving the original copy and a complete CD in Word/PDF format.
    • Issuing a receipt to the contributor and obtaining a signed clearance form.
